Privacy Policy
Last Updated: June 7, 2025
This Privacy Policy explains how the Nexu Discord Bot ("Nexu," "the Bot," "we," "us") collects, uses, and discloses information when you use our services. We are committed to protecting your privacy and being transparent about our data practices.
By adding Nexu to your Discord server or by interacting with it, you agree to the collection and use of information in accordance with this policy.
1. Contact Information
If you have any questions or concerns regarding this Privacy Policy or your data, please contact us through our official support server:
Nexu Support Server: https://discord.gg/VawrykhMpE
2. Information Nexu Collects and Why
Nexu collects and processes limited data to provide its intended functionality and improve user experience. We only collect information that is necessary for the bot's features to operate.
- Guild IDs (Server IDs):
- Purpose: We collect Guild IDs to store server-specific configurations, settings (e.g., custom prefixes, enabled features), and for internal monitoring and management by the developers.
- Retention: Guild IDs and their associated configurations are stored only as long as Nexu is present in the respective Discord server. If Nexu is removed from a server, all associated configuration data for that server is immediately wiped. We may retain certain Guild IDs as required by law, in response to valid legal requests, or to enforce our Terms of Service in cases of abuse or policy violations.
- Channel IDs:
- Purpose: Channel IDs are collected and stored for specific server configurations related to features such as dynamic slowmode, the Skullboard feature (to identify the designated Skullboard channel), and for managing specific threads (e.g., for the purpose of closing them).
- Retention: Channel IDs are stored only when explicitly configured by a server administrator for a particular feature. Like Guild IDs, these are wiped if Nexu is no longer in the server where they were configured.
- User Information (Access and Storage):
- When users interact with Nexu, the bot may access publicly available Discord information such as User IDs, Usernames, Nicknames, and Avatars. This information is accessed for display purposes (e.g., personalized responses, displaying who performed an action, showing author on Skullboard entries) and for identifying users in moderation logs.
- Specific Storage Cases:
- Applications Feature: For the applications feature, we store User IDs and may store other personal information (e.g., usernames, answers to personal questions) that users provide as part of their application. This data is stored permanently in our secure database. Additionally, application questions and responses may be sent to private Discord threads, where they are stored on Discord's end until the thread is deleted. Access to this database is restricted to the bot developers and is only accessed when something serious goes wrong.
- Skullboard Feature: When a message is sent to the Skullboard, Nexu captures and stores the User ID, username, nickname, and avatar associated with the author of the original message. This data is then displayed as part of the Skullboard message. This information is retained indefinitely as part of the Skullboard message content within the designated Skullboard channel on Discord, until the Skullboard message itself is deleted.
- Silent Banning Command: Nexu does not store any user data related to the silent banning command in its own database. The only information technically stored is on Discord's end, within the ban menu and audit logs, which are subject to Discord's own data retention policies.
- Message Content:
- Purpose: Message content is processed and stored exclusively for the Skullboard feature. When a message is "skulled," its plain text content is captured to be displayed within the designated Skullboard channel.
- Retention: The plain text message content is stored only within the Discord channel designated as the Skullboard. While the bot may generate an image of the message, this image is deleted internally by Nexu immediately after sending it to Discord. Discord then handles the storage of that image. The message content (and any associated image on Discord) is retained within the Skullboard channel until the Skullboard message itself is deleted by a user or administrator.
- Future Changes: Please note that while currently only plain text is saved for the Skullboard, this feature is set to change later on. Any significant changes to data collection or storage practices will result in an update to this Privacy Policy.
3. Data Storage and Security
Nexu stores collected data in secure databases with restricted access. We implement reasonable technical and organizational measures to protect your data from unauthorized access, alteration, disclosure, or destruction.
However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security.
4. Data Sharing and Disclosure
Nexu does not sell, rent, or trade your personal information with third parties for marketing or any other purposes.
We may disclose information if required to do so by law, in response to a valid legal request (e.g., a court order or subpoena), or when we believe such action is necessary to comply with the law, protect our rights or property, or ensure the safety of our users or others.
5. User Rights and Data Control
Depending on your jurisdiction, you may have certain rights regarding your personal data. Nexu aims to provide you with control over your information:
- Accessing Your Data: You may request access to the personal data Nexu holds about you. Please contact us via the support server linked above to initiate such a request. We will endeavor to respond to all legitimate requests within a reasonable timeframe (e.g., 30 days).
- Deletion of Your Data (Right to Be Forgotten): You have the right to request the deletion of your personal data stored by Nexu. This includes data associated with your User ID, such as application data. To request data deletion, please contact us through the support server. Note that some data, particularly content shared publicly on Discord (like Skullboard messages), may remain on Discord's platform even if Nexu deletes its internal records, as it is subject to Discord's own policies.
- Data Portability: You may request to receive your personal data in a structured, commonly used, and machine-readable format.
- Withdrawal of Consent: Where processing is based on your consent, you have the right to withdraw that consent at any time.
We will verify your identity before processing any data requests to ensure the security of your information.
6. Age Restrictions
Nexu is not intended for use by individuals under the age of 13. In compliance with Discord's Terms of Service, we do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as quickly as possible. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any significant changes by posting the updated policy on our website or through announcements in our support server. Your continued use of Nexu after any changes indicates your acceptance of the updated policy. This policy was last updated on the date indicated at the top.
